Hospitality Purveyors International (HPI) is the exclusive design and procurement arm for all Sandals and Beaches Resorts International properties which are wholly owned and managed resorts.
About the Position
The Project Coordinator provides essential administrative and logistical support to the project management team, helping ensure resort projects run smoothly. This role assists with tracking project schedules, maintaining documentation, and coordinating communication between project stakeholders. The Project Coordinator plays a vital role in organizing project workflows, enabling the team to meet deadlines, budgets, and quality standards.
Key Responsibilities:
- Project Administration: Organize and maintain project documentation, including schedules, task lists, and reports, ensuring all information is up-to-date and accessible to the project team.
- Task Tracking and Follow-Up: Monitor the progress of project tasks and follow up with team members to ensure timely completion. Report any delays or issues to the senior project management team.
- Cross-Functional Communication: Serve as a communication hub between internal teams, suppliers, and other stakeholders. Coordinate meeting agendas, take minutes, and distribute action items to ensure clear follow-through on all project activities.
- Schedule Coordination: Support the project timeline by helping to coordinate schedules, meetings, and deadlines. Track key milestones and report progress to project managers.
- Meeting Coordination: Schedule, prepare, and organize meetings, ensuring stakeholders receive agendas, updates, and follow-up materials as required. Take meeting notes and ensure action items are documented and assigned.
Core CUSTOMER Interaction Aptitudes:
· Work closely with the customer, HPI Project Manager to understand project requirements and objectives
· Work cross-functionally to resolve and/or escalate customer concerns or issues in a timely fashion

Qualifications:
- Associate’s or Bachelor’s degree in Business Administration, Project Management, Hospitality, or a related field.
- 1-2 years of experience in an administrative or project coordination role; experience in hospitality, procurement, or construction is a plus.
- Strong organizational and communication skills with excellent attention to detail.
- Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite and familiarity with project management software.
Specific Knowledge and Skills Required:
- Knowledge experience with Oracle
- Must be proficient with the entire Microsoft Office suite of products
- Must have solid organizational skills and ability to multi-task
- Must have solid time management and prioritization skills
- Must have sound analytical skills
- Must have solid customer service and problem-solving skills
- Ability to communicate effectively verbally and in writing (in English)
- Ability to communicate effectively with management, co-workers and external parties
- Ability to walk and/or sit and continuously perform essential job functions
