Florida Urology Partners is seeking a Regional Practice Administrator to lead and oversee clinical operations and practice administration for four (4) offices located within the Tampa Bay Region. The Practice Administrator will ensure the continuity of efficient daily operations, triaging gaps in staffing levels, identifying areas of improvement (i.e., operational workflows, facility enhancements, Team Member satisfaction, Patient Satisfaction, et. al.), ensuring adherence to OSHA, ACHA and other regulatory requirements, facilitating minor and major procurement requests for equipment and supplies, adhering to internal Practice-specific, and multi-location standard operating procedures (SOPs) in alignment to those of the Organization, drives collaboration with affiliated and/or credentialed medical institutions for various activities, and performs other closely related duties and responsibilities.
Principle Accountabilities:
- Leads and oversees Staff at the assigned Practice locations
- Identifies and trains appropriate personnel to supervise operations when Regional Practice Administrator is present at another location, or out of the office on vacation or sick time
- Responsible for cross-training appropriate roles within the Practice, and across Practices to provide a stop-gap during unforeseen staffing reductions (i.e., Check-In/Check-Out, Call Center/Authorizations/Verifications)
- Ensures the Practice locations have appropriate inventories of all medical and office supplies necessary to efficiently operate
- Maintains an active and current inventory tracking protocol for all medications, injectables and other related supplements for reporting purposes and compliance
- Provides guidance on efficient Practice workflows and adheres to the standard operating procedures of Florida Urology Partners, LLP
- Inspires Staff to mirror the core values of the Organization in an effort to ensure high levels of Team Member and Patient Satisfaction
- Responsible for the timely reporting and oversight of equipment (medical and non-) replacement and repairs
- Provides oversight across Authorizations, Verifications and Surgical Schedulers to ensure timely action in compliance with expected protocols
- Facilitates any Practice-specific contracts and/or Agreements that are not centrally managed (i.e., house and grounds keeping, Supplies, etc.) with the Central Business Office
- Responsible for the integrity of Practice security (i.e., distributing and recouping building access keys and back-up to security access cards, ensuring the proper “closing” activities are completed each day, etc.)
- Responsible for the appropriate hiring, performance improvement and termination plans in conjunction with the Central Business Office
- Oversees time and attendance for all staff, inclusive of vacation and sick-time management
- Review and approve office-specific invoices for payment by the Central Business Office
- Responsible for the procurement of daily medical and office supplies through the approved Vendor and/or Purchasing Organization
- Perform annual Employee appraisal reviews and help set Practice-specific goals and objectives with Staff and Physicians
- Provides oversight and support for the proper documentation, coding and billing workflows
- Ensures timely communications with patients regarding inquiries and/or complaints
- Ensures timely communication with Central Business Office
- Serves as financial custodian for daily bank deposits and reconciliation of patient payments
- Responsible for the monitoring of Practice specific key performance indicators (KPIs)
- Participates as Project Manager for key initiatives associated with supervising Physicians and/or location(s) in conjunction with the Central Business Office
- Meets regularly with Executive Vice President and Chief Operating Officer
- Meets regularly with Practice Physician Leaders
- Delegate responsibilities, as necessary
- Travels to Central Business Office for meetings, as required
- Other closely related duties, as assigned

Education:
- Bachelor’s degree in a related field or comparable professional work experience, required
- Master’s degree, preferred
Experience:
- At least three years of prior Medical experience, required or at least five years of business experience in a closely related field or closely related role, required
- At least two years of prior Management experience, Required
- Prior experience with electronic health records, Required
