Job Summary:
The Dealership Assistant will support administrative tasks within the department, including operating office equipment, greeting and assisting visitors, handling phone calls, processing mail, and accurately entering data. The position requires knowledge of administrative procedures, excellent communication skills, and the ability to use logic and reasoning. Supervisory Responsibilities: None

Rate of payRate of pay $16.00 to $19.00 hourly, based on experience. 

Essential Duties/Responsibilities:

  • Operate office machines and equipment, such as photocopiers, scanners, computers, fax machines, voicemail systems, computers and calculators.
  • Accurate entry of data (text and numerical data).
  • Greet and assist visitors to the dealership.
  • Provides general information to customers, visitors and team members.
  • Directs customers, visitors and team members to correct department as needed for further assistance.
  • Prepares and submits deposits accurately.
  • Answers phones.
  • Process incoming, outgoing and returned mail.
  • Compile, copy, sort and file records.
  • Review files, records and other documents to obtain information to respond to requests.
  • Receive and enter payments from customers.
  • Reserve rental car.
  • Accurately provide rental car rate quotes.
  • Process rental car pick-ups and returns.
  • Drive vehicles as necessary (local driving).
  • Other office and administrative tasks as assigned.


Required Skills/Abilities: 

  • Knowledge of administrative and office procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and workplace terminology.
  • Understand written and verbal instructions.
  • Excellent verbal and written communication skills.
  • Ability to effectively present and communicate information
  • Ability to use logic and reasoning.
  • Ability to effectively manage time to ensure tasks, projects and responsibilities are carried out in order of priority, efficiently and within required timeframes.
  • Proficient computer and basic software skills (Microsoft Suite or related or similar software)
  • Proficient typing skills – ability to accurately type information on standard computer keyboard.


Education, Certificates and Licenses and Experience:

  • Valid Florida driver’s license.
  • Driving history
  • 1 year clerical experience preferred.
  • Automotive office or dealership experience preferred.
  • High school diploma (or equivalent) or equivalent training and experience.


Physical Requirements: 

  • Prolonged periods of sitting at a desk and working at a computer.
  • Ability to work inside an office building for extended periods of time.
  • Ability to work in an shared work space environment.
