Position Specific Description
We are looking for an Administrative Technician to join our team in Jupiter, FL. This position provides administrative support to the Executive Director of IT, FPLS.
To be successful in this role, you must have the ability to:
- Work in a fast-paced and dynamic environment with minimal supervision and direction.
- Manage outlook functions including Mail and Calendar.
- Schedule appointments and meetings.
- Partner with support staff on an ongoing basis to coordinate multiple demanding calendars.
- Determine administrative needs for conferences, meetings, or other related high-level activity.
- Coordinate monthly strategic meetings and assist with other management-level meetings as needed.
- Take independent action on handling requests; determine the appropriate course of action, intervene where necessary, and act as a liaison among departments.
- Process expense reports and procurements items as needed.
- Work closely with team members to gather and present information as needed, including the preparation of PowerPoint presentations using NEE standards.
- Plan and coordinate small office projects as needed, including space planning to ensure optimum utilization of office space.
- Run various reports as needed and analyze data to provide actionable insights.
- Demonstrate proficiency in Microsoft Excel for data analysis and reporting purposes.
- Employees in this job perform diversified and confidential administrative duties by applying broad and comprehensive experience, skills, and knowledge of organizational policies and practices.
- Contacts other departments and/or outside agencies to resolve problems.
- Audits and processes invoices and expense reports in accordance with accounts payable procedures.
- Interacts with all levels of employees as needed to perform responsibilities.
- Works on special projects as requested.
- Performs other job-related duties as assigned, including but not limited to space planning for office relocations, running reports, and analyzing data using Excel.
