Supporting the Founder & CIO

Position Overview

As the Executive Assistant / Executive Admin, you will be the primary support to our Founder & CIO. This role requires an individual who is exceptionally organized, a strong self-starter, and comfortable taking initiative to optimize the CIOs time. You will manage scheduling, prioritize tasks, and handle a wide range of responsibilitiesincluding attending meetings (both in-person and virtual), note-taking, content production, and the use of AI tools to drive operational efficiencies. This position demands the flexibility to work extended hours and the ability to function autonomously with sound decision-making skills.

Key Responsibilities

1. Schedule & Time Management

Coordinate complex calendars, ensuring top priorities are always addressed.

Develop and maintain strategies for optimizing the CIOs daily schedule.

Organize travel itineraries and conference schedules, anticipating changes or conflicts.

2. Task Coordination & Execution

Prepare and prioritize comprehensive task lists that cover both immediate needs and long-term projects.

Maintain accountability for follow-through on all assigned tasks and delegate when necessary.

Translate meeting notes into clear, actionable items for all stakeholders.

3. Operational Leadership & Decision-Making

Take the lead on implementing systems to boost efficiency across the organization.

Exercise autonomy in routine decision-making; escalate major issues to the CIO as needed.

Collaborate across departments to streamline workflows and improve internal processes.

4. Communication & Meeting Support

Attend client, partner, and investor meetingseither in person or via video conferenceand document detailed notes.

Provide executive summaries and action steps post-meeting to ensure alignment and forward momentum.

Craft and distribute clear communication to relevant teams, maintaining professionalism and confidentiality.

5. Tech & AI Integration

Utilize AI tools, including ChatGPT, to optimize operations, content creation, and internal communications.

Maintain proficiency in various digital platforms for project management, communication, and media production.

Identify and implement emerging tech solutions that enhance overall productivity.

6. Content Production & Media Coordination

Assist with the planning and production of content, including newsletters, memos, and presentations.

Support logistics for media and press appearances, acting as the CIOs liaison to external contacts.

7. Leadership & Team Collaboration

Work closely with executive leadership to align day-to-day activities with the firms strategic goals.

Foster positive relationships across departments to maintain open lines of communication.

Take ownership of special projects and initiatives as assigned by the CIO.

Qualifications

No formal education requirement.

5+ years of administrative or executive support, preferably in finance or a high-growth environment.

Proven ability to manage complex schedules and prioritize high-stakes deadlines.

Comfortable working in a fast-paced setting that may require extended or flexible hours.

Strong written and verbal communication skills.

Demonstrated proficiency with AI tools, content production, or relevant technologies.

Able to handle sensitive information with discretion, confidentiality, and professionalism.

Self-driven, with a strong sense of leadership and problem-solving abilities.

Compensation & Growth Potential

Base Salary: $75,000$125,000 per year.

First Year Discretionary Bonuses: Up to $300,000 annually, contingent on performance and company success. (Quarterly Assessment)

Long-Term Growth: Opportunities to expand into higher-level operational or leadership roles as the company scales.
