Executive Admin
This role will be the leader of business management assisting the founder in operating the business
o Assist founder in day-to-day operations of managing the business including
o Scheduling of meetings, distribution of information, etc.
o Managing elements of the business including business technology, computers, insurance, emails, business accounts and subscriptions.
o Action items, meeting notes, next steps and action items
o Vendor list management
o Team Event Coordination
o Holiday Gifts for Clients
o Hiring/contracting freelancers and potential fulltime employees as directed.
o Work with founder on creating & refining SOP docs including staffing grids, forms, etc.
o Finalizing client contracts
o Assist Founder with implementation of communication system for team management.
o Assist with outlining and moving forward 30/60/90 planning for the company and by role
Hospitality Management
This role will be the leader of the travel vertical for the company; this is an area of growth for the company
o Manage all internal and external related travel bookings
o Ensure commissions are submitted and received from Agency
o Reach out to Hotels for client room blocks and ensure commissionable rates; Manage hotel relationship
o Secure initial contract with vendors (transportation, etc.)
People for Projects: Guest Management
This role will be the leader on projects that include Guest Management as a project function:
o Manage the end-to-end process of guest management for events that require this scope including managing the database, sending invitations, distributing tickets, setting up ticketing systems, follow up on RSVP, etc.
o Implement the appropriate technology, set up system, etc.
o Implementation of a CRM system
Events & Client Projects:
This role will be the support Founder on functions related to events
o Assist with Project Kick-Off & Close
o Work with founder to open and close each project (or potential project) by assisting with initial creative brief, initial budget set up, client contract, securing insurance, initial vendor contact (only the key initial vendors) and project hand off brief
o Work with founder on full team staffing plan for each upcoming event and communicate accordingly
o Assist with Pre-Event Prep:
o Assist Founder with team staffing plans, communications, distribute ROS, create face sheets, etc.
o Support on Founder-Led Projects
o Assist founder to execute projects and events that are smaller in scope including budget, vendor management, site visits, etc.
o Attend all events and assist either within role scope or support team as needed.
o Creation of Materials:
o Support the founder on the creation of marketing materials, one sheet docs, sponsorship decks, for client projects as needed.
